AI Search for Wedding Pros: What to Know and How to Show Up

Search is changing fast. Couples aren’t just typing a few keywords into Google anymore. They’re asking detailed questions in ChatGPT, Claude, Gemini and other AI-powered search tools, expecting personalized recommendations in return.

During a recent WeddingPro Vendor Voices panel, WeddingPro’s MaryKate (MK) Callahan, Director of Content Strategy, sat down with Irene Katzias, Creative Director at Irene + Co Events, and Walter McClellan, Founder and CEO of Toast Entertainment, to unpack what AI search means for wedding pros today and how businesses can position themselves to show up.

Here’s what every wedding professional should know about AI discoverability.

Couple search behavior has changed

The rise of AI hasn’t changed what couples want, but it has changed how they look for it. In fact, more than a third of couples (36%) now use AI in their wedding planning and vendor searching.

Instead of searching “Austin wedding DJ,” couples can now ask AI to recommend a DJ for a 120-person October wedding with a specific budget, music style and guest experience in mind. That level of specificity creates new opportunities for businesses that clearly communicate who they are and what makes them different.

“I think as a wedding planner, AI has definitely affected our process and the way that we communicate with our couples as well as the ability to execute because there’s never been a time where more information is readily available,” Irene said.

MK noted that today’s search experience is less about browsing pages of links and more about getting personalized recommendations. AI tools can understand longer, more conversational prompts, giving couples the ability to describe exactly what they’re looking for. For wedding pros, that means your online presence needs to answer real questions, not just rank for a handful of keywords.

“The fundamental need is the same: couples are still looking for the right pros to bring their wedding to life,” she said. “The search bars might be different. The responses obviously have some changes, too, but the fundamental need is absolutely the same.” 

AI learns from your full online presence

Large language models don’t invent information about your wedding business. They gather it from across the web.

“Education’s never been more important in our industry because all these LLMs are just pulling from our sites,” Irene said. “They’re pulling from Instagram, they’re pulling from The Knot, they’re pulling from whatever we feed it.”

Every blog post, review, business profile and social account contributes to the picture AI builds about your brand. That’s why your digital presence needs to work together. Walter emphasized the importance of consistency: “You need to know what the internet’s going to say and pull about you.”

Outdated pricing on one website. Different descriptions across profiles. An old business name lingering somewhere online. These inconsistencies can confuse both couples and AI. Instead, make sure your information is aligned everywhere your wedding business appears.

Reputation matters more than ever for wedding businesses

One theme came up repeatedly throughout the discussion: Your reputation has always mattered, but AI makes it even more important.

“Your reputation matters more than ever, and brand consistency matters more because if the words are consistent and the ecosystem understands that it’s consistent, it will continue to reinforce you as the best planner, the best DJ, the best whatever,” Irene said.

AI doesn’t just look at what you say about yourself. It also considers reviews, recommendations and the broader conversation happening across the internet. That means every positive couple experience contributes to your visibility. Walter has seen this firsthand.

“From my experience, the top factor in showing up in the AI results is the reviews and how fresh they are,” he said. 

Fresh reviews send strong trust signals. They tell both couples and AI that your business is active, delivering great experiences and consistently exceeding expectations. Rather than treating reviews as a one-time task, build a repeatable system for requesting them after every wedding.

Fresh content and reviews are positive signals

Your website shouldn’t become a digital time capsule. Regular updates help demonstrate that your business is active and engaged. That doesn’t necessarily mean publishing brand-new blog posts every week. Freshness can come from:

  • New reviews
  • Updated galleries
  • Recent weddings
  • Refreshed service pages
  • Current business information
  • New educational content

Walter recommends regularly auditing your online presence to make sure everything is accurate and current. If there’s an outdated profile you forgot about years ago, AI may still find it. Consistency and freshness work together. The more accurate your information is across the web, the more confidence AI has when recommending your wedding business.

Visibility is more important than ranking No. 1

Traditional SEO focuses heavily on ranking at the top of search results. AI changes that mindset for pros.

“In a lot of ways, there is no number one anymore,” Walter said. “You either show up or you don’t.”

Instead of competing for one keyword, pros now have opportunities to appear in thousands of highly specific searches. A couple may ask for:

  • A luxury planner experienced with multicultural weddings
  • A documentary-style photographer for a mountaintop ceremony
  • A bilingual DJ for a Latino wedding
  • A florist specializing in sustainable designs

The more clearly your website, profiles and content explain what makes your business unique, the easier it becomes for AI to connect you with couples looking for exactly that expertise. It’s also imperative to appear on sites with strong authority, or sites that have built up credible signals or domain authority for AI search. 

“Having such a strong, robust presence on authoritative sites like The Knot and WeddingWire is so advantageous for visibility,” MK said. “It helps just add to the chorus of the internet of all of the different places that are saying amazing things about your company and what you offer couples.”

Authenticity is your competitive advantage

While AI can help you work faster, it shouldn’t replace what makes your business memorable. As more pros experiment with AI-generated content, authentic brand voice becomes even more valuable. Couples aren’t hiring perfectly optimized websites. They’re hiring people they trust. Walter encouraged pros to use AI as a starting point, not the finished product.

“You can have AI write your rough draft, but you should humanize it and go in and put things in your own words,” he said.

Irene agreed: “Don’t lose yourself and don’t try to sound like anyone else.”

Your personality, experience and creativity are what differentiate your wedding business. Let AI help you organize ideas or overcome writer’s block, but make sure every piece of content still sounds like you.

Trust is built both online and offline

While AI may influence discovery, couples still book people. That means relationships remain one of the strongest marketing tools you have. Walter reminded pros not to spend so much time thinking about AI that they forget the power of human connection.

“The biggest driving factor of our industry is that person-to-person connection,” he said.

Preferred vendor relationships, venue recommendations, planner referrals and exceptional service still create the kind of reputation that AI notices because people are talking about you. Irene shared that trust starts long before someone leaves a review.

“What comes out online is a reflection of what’s happening in person first,” she said.

Her team focuses on serving couples and vendor partners generously, knowing those experiences naturally become recommendations, reviews and referrals later. In other words, your online reputation begins offline.

Five tips for boosting AI search visibility 

If you’re wondering where to start with AI search as a pro, the panel offered several practical ideas you can implement right away.

  1. Keep your information consistent: Ensure your website, Storefront and social profiles—everywhere online where your brand appears—all have the same details. 
  2. Invest in your reputation: Prioritize real couple reviews and special recognition like awards to boost your social proof and attract more couples via search.
  3. Publish helpful content: How-tos, wedding timelines, budget formulas and calculators—pursue content that answers common questions from engaged couples. 
  4. Stay active online: You don’t need to post on social media every day or publish three blog posts a week on your website. Just make sure you have some type of repeatable cadence going, and update content and business details as needed.
  5. Most importantly, let your personality shine through: At the end of the day, if your brand meets a couple’s needs, budget, and timeline AND your personality, approach, and overall vibe resonate with them, you’re that much closer to closing the sale. 

The bottom line

AI search is changing how couples discover wedding professionals, but it isn’t changing what earns their trust.

The opportunity for wedding pros is to strengthen the foundation you’ve been building all along. Because while AI may help couples discover your business, it’s your experience, creativity and human connection that ultimately earn the booking.
