Their responses show just how common AI has become—for both vendors and couples. Now it’s your turn to get ahead.

What is artificial intelligence?
AI refers to technology that’s trained using tons of data to perform tasks that usually require human intelligence, such as:
- Decision making
- Problem solving
- Automation of simple tasks
- Data analysis
These AI tools help pros like you by acting as a virtual assistant—ready to answer questions, spark ideas, fine-tune your work and so much more!
Savvy wedding vendors are even adopting AI tools to help more couples. They see their businesses running more smoothly with increased efficiency and better organization. That means more time back—and more money in their pockets. Talk about a win-win!
How are vendors using AI today?
Still figuring out how to use AI in your wedding business? We hear ya. And you’re not alone:
did you know?
Only 14% of wedding pros reported feeling very or extremely familiar with AI for their business.
But 60% of vendors believe AI will be essential for wedding pros in the next 5 years.
Vendors who bridge that gap may be better equipped to evolve and stay competitive in the industry. Many are using AI tools like ChatGPT, Canva, Grammarly and Gemini. But how are they using them? Let’s break it down:

How wedding vendors use ChatGPT
ChatGPT is the go-to for drafting emails, whipping up social media posts, writing website copy and even getting some creative inspiration. Acting as a chatbot, you can ask ChatGPT questions and prompts in almost any format you like.

How wedding vendors use Canva
For marketing materials, Canva is a lifesaver—it’s great for designing posters, graphics, flyers and ads. You can let your creative side shine while editing marketing materials and presentations. Plus, it’s super user-friendly and offers lots of templates for you to explore and grab inspiration from.

How wedding vendors use Grammarly
If you’re short on time (and who isn’t?), Grammarly is perfect for quickly checking emails and other content for errors, offering suggestions as you type. As an AI-powered writing tool, Grammarly checks not only spelling, but also punctuation, grammar and overall readability. Busy wedding vendors with loaded inboxes will love this one.

How wedding vendors use Gemini
Gemini is also a solid choice for social media posts, double-checking copy and even doing a bit of research before you hit ‘post’. You can find Google Gemini in a variety of your apps, including Google Drive, Google Docs and Gmail. Depending on which app you’re using, the tool can help with writing emails, summarizing folders and refining files and documents.
AI prompts for pros

Stay relevant
WeddingPro Educator, Alan Berg uses AI to keep content and marketing materials fresh and aligned with modern audiences. Try asking your AI tool of choice to spruce up your copy!
- “Analyze the tone of my Storefront description and suggest updates to appeal more to Gen Z couples.” [Include a screenshot of your Storefront or paste in the content]
- “Evaluate my client testimonials and suggest edits that make them more engaging for younger audiences.” [Paste in a few examples of testimonials]
- “Take this recent blog post I wrote and edit it to resonate with my ideal couple.” [Input the blog post and add some bullets about your dream customer]
Get organized
Planner and WeddingPro Educator, Andrea Eppolito uses AI to handle monotonous work, like organizing tasks. Try using your AI tools to organize routine tasks, schedule reminders and create checklists to keep you on track.
- “Here are my notes from a call with the couple. Can you summarize the key takeaways and my follow-up items into bullets?” [Upload your notes or add a photo of your notebook if you handwrite them]
- “Create a checklist of details I should cover in my first meeting with a couple today.” [Add information about what services you offer and the couple’s original request]
- “Send me a list of appointments I have today along with details of who they are with.” [Connect an AI scheduling app to your calendar to get a daily rundown of your meetings]
Get inspired
“I also love using it for brainstorming,” says planner and WeddingPro Educator, Nora Sheils. Everyone experiences creative block occasionally and AI can help spark new ideas.
- “Give me 10 social media captions for this wedding [describe the wedding], written in an elevated tone to help attract new clients with a similar aesthetic.” [Include photos or videos you plan to post]
- “Generate a moodboard for a _______ wedding theme.” [Mention what the couple is looking for]
- “Give me some inspiration for table settings at a _______-inspired wedding.” [List the inventory you already have, so you can re-use your decor.]
- “What stationary motifs could I use for my couple’s _______-themed wedding ceremony?” [Offer details about the theme, vision and color scheme]
Be conversational
Even simple questions can go a long way in getting confident and comfortable with AI. Try asking a quick question like:
- “Can I make this email sound a bit more friendly?” [Paste your email into an AI tool]
- “Can you proofread this response to a lead?” [Include your response and make changes accordingly]
- “Can you help me match my couple’s tone in this email?” [Input copy from your couple’s emails as examples for the AI]
The pro perspective: what wedding experts say about AI

The takeaway from these vendors?
The most valuable asset a vendor has is “their wealth of nuanced experience and real-world knowledge from past events.” So, trust your gut when it tells you to take the reins back from AI. You’re the wedding pro, after all!

How couples use AI for wedding planning
According to our survey, 70% of vendors said they weren’t sure whether couples are using AI to plan their weddings, so we dug in. Recent data collected from engaged couples getting married in 2025 already shows a high adoption rate of AI.
Nearly 20% of couples say they’re using it to help with planning. While our experts agree AI’s no replacement for a pro’s expertise, couples who are using AI are finding it helpful in these key areas:
Writing help
- Vows and toasts: Drafting or polishing personal love notes with help from ChatGPT or Provenance.
- Wedding invitations and stationery: Generating messages for invites and details cards.
- Thank-you notes: Crafting heartfelt but efficient post-wedding gratitude.
Design and creative brainstorming
- Color palette creation: Using AI palette generators to match colors with their vision.
- Design mock-ups: Creating mood boards or visual inspiration using tools like June or collage generators.
- Photo album layouts: Automating photo book design and image curation with tools like Mixbook.
- Signature cocktail names: Generating punny or personalized drink names and menu inspiration.
Planning and logistics
- Checklists and time management: Automating to-do lists, planning timelines and setting up reminders.
- Split task assignment: Using tools like “Split the Decisions” to divide wedding chores between partners.
- Note-taking and meeting transcriptions: Recording and transcribing vendor meetings using tools like Otter.ai.
Shopping and discovery
- Attire and jewelry shopping: Using virtual try-ons or AI recommendations for outfits and accessories.
- Flower identification: Reversing image searches or plant ID apps for bouquet inspiration.

Do’s and don’ts of AI for wedding vendors
AI tools aren’t a “one size fits all” solution. There may be situations where AI isn’t the best approach.
For example, Holly Gray of Anything But Gray Events says, “Couples are seeing unrealistic images that should inspire them, but ultimately make them feel as if their realistic wedding will never live up to the fictional images they are being fed through AI.”
Here are some do’s and don’ts for using AI, sourced from fellow wedding vendors:
AI do’s for wedding pros
Email management
AI can help you sort, categorize and prioritize your emails. Apps like Google Gemini can even draft answers to those frequently asked questions about pricing and availability—saving you time.
Scheduling and reminders
AI-powered scheduling tools can coordinate appointments and send automated reminders to help you stay on track and manage your time effectively. Project management systems like Asana are also introducing features such as “Asana AI” to summarize tasks and highlight weekly progress.
Social media and content generation
Tools like Canva can brainstorm post ideas, write engaging captions and even design eye-catching graphics. And even if you’re already full of ideas, AI can still help by analyzing trends and giving you suggestions based on your own social media data.
SEO optimization
AI-powered SEO tools can select keywords to help enhance your website and boost your rankings.
AI don’ts for wedding pros
Relying on AI for emotionally nuanced decisions
Situations with personal feelings would be best handled with human empathy and judgment.
Letting AI replace your personal voice in client communications
Clients value personal connection, especially when it comes to something as special as being part of their wedding day. Avoid letting AI-generated messages completely take over your interactions.
Using AI content word for word
“Never simply cut and paste AI and let it be your only voice. It’s tempting, but that’s where you lose authenticity—and in this industry, connection is everything.” – Nora Sheils, Bridal Bliss
Assuming all AI-generated designs are compatible in the real world
AI-generated images aren’t always practical or feasible in real-world wedding setups. Provide a realistic and authentic idea of what you can create for the couple.
Generating portfolio images using AI
What inspires pros can set unrealistic expectations for couples—AI images blur the line between what’s possible and impossible. Again, authenticity is key!
Making decisions requiring ethical judgment
Similar to emotionally nuanced decisions, anything with ethical implications is best left to human judgment.
Where to go from here
Now that you’re armed with the latest in AI for weddings, it’s time to start implementing. Here are a few tips to get started:

These points echo what some of our vendors have flagged as AI limitations. Wedding planner Hovik Harutyunyan noted that while AI can generate beautiful images, they often come across as a little unrealistic. Andrea Eppolito also reminds us that AI can’t feel or anticipate emotion, or recognize the special, human moments that make each wedding unique.
1. Start small
First of all, pick the aspect of your business you need the most support with and expand as you get more comfortable. We have suggested a wide range of tools, so pick which one speaks to you the most.
2. Focus on efficiency
AI can automate repetitive tasks that take up your time. For example, Gemini can help you prioritize your emails in Gmail, saving you time and helping you focus on client interactions and creative work.
3. Add a personal touch
Human connection is so important to couples, so don’t forget to allow your personality to shine! Always proofread, edit and personalize the work AI provides.
4. Remember, you’re the pro
“AI can only do what has been done before. It can never replace the humanity or the joy of having someone see you for who you are…Which is why AI will never replace wedding vendors.” –Andrea Eppolito, Wedding Planner and WeddingPro Educator
AI isn’t a futuristic idea—it’s here, it’s being used by vendors and couples alike and it has the potential to strengthen your business. More than half of wedding vendors agree, AI will be an essential part of their business in the next five years—but it’s no replacement for expertise like yours.
Embrace what you do best, and use AI to enhance it—empowering you to achieve greater impact and create magical weddings for your couples. So, take the leap, explore the possibilities and discover for yourself how AI can be your newest team member.
