Sell Your Services: The Sales Glitch
Most pros assume that if a couple inquires, the hard part is over.
After all, the couple found your website, viewed your portfolio, read your reviews or received a referral. They already know you’re talented. So why do so many promising leads disappear before they become bookings? According to Tamuel Cowart, President and Founder of RW Events, RW Style, Co-Owner of Luxmore Grande Estate and Strategic Partner of Cypress Grove Estate House, the problem often has nothing to do with talent.
Instead, it comes down to what she calls the “sales glitch”—small breakdowns in communication that cause interested couples to lose momentum and book elsewhere. As Tamuel explains, “They’re reaching out to you because they think you’re talented. They saw something that they liked.”
The challenge is converting that interest into commitment.
The problem isn’t your work
Wedding pros often assume lost leads are the result of pricing, competition or market conditions. While those factors can play a role, Tamuel argues that the biggest issues usually happen during the sales process itself.
“The glitch comes in when we’re slow to respond, when we send generic responses, when we miss those follow-up emails,” she said.
Many vendors unintentionally create friction by:
- Taking too long to reply
- Sending generic templates
- Failing to answer all of a couple’s questions
- Forgetting to follow up
- Talking more than they listen
Every interaction shapes a couple’s impression of your business. Even small delays or missed details can make couples question whether they’ll receive the experience they’re looking for.
Couples are comparing experiences, as well as talent
One of the most important takeaways is that couples aren’t simply comparing portfolios.
“Oftentimes, they’re comparing experiences,” she said.
Think about your own buying habits. When you reach out to a business, how quickly they respond, how helpful they are and how easy they make the process all influence your decision. Couples feel the same way.
Many are planning their first wedding. They’re overwhelmed, unfamiliar with industry terminology and looking for guidance. Vendors who make the process feel easy often stand out more than vendors with the flashiest portfolio.
Answer every question the first time
One of the most common sales mistakes Tamuel sees is incomplete responses. A couple might ask about availability, pricing and scheduling a consultation. The pro sends pricing information but forgets to address the consultation request. Technically, the vendor responded—but they didn’t fully answer the inquiry.
“You didn’t answer their questions,” Tamuel said. “You didn’t give them the information they needed.”
When responding to inquiries:
- Answer every question directly
- Personalize your response
- Include next steps
- Provide a clear call to action
The easier you make it for couples to move forward, the more likely they are to do so.
Make scheduling easy
Many wedding pros unintentionally create unnecessary back-and-forth during the booking process. Instead of asking couples to email multiple times to coordinate schedules, Tamuel recommends giving them an easy way to book consultations themselves.
“Having a link for them to be able to book you is fantastic,” she said. “It stops the back and forth.”
Whether you use Calendly, HoneyBook, Dubsado or another scheduling tool, allowing couples to select a time that works for them creates a smoother experience and reduces friction.
Understand why couples ghost
Getting ghosted is frustrating, but Tamuel encourages wedding pros not to take it personally.
“Sometimes they just disappear because they’re overwhelmed,” she said.
Couples are juggling venue tours, vendor meetings, family opinions and dozens of decisions all at once. Sometimes they simply need a break from planning. Other times, they don’t know what to do next.
This is why clear communication matters so much. If couples aren’t sure what the next step is, they often do nothing. A direct follow-up message acknowledging that the couple may have chosen another pro or paused planning can help. This approach often generates responses that help you determine whether the lead is still warm or has indeed gone cold.
Respond faster than competitors
Speed matters more than many wedding pros realize. Couples are often contacting multiple vendors simultaneously. The first vendor who provides a helpful, personalized response frequently gains an advantage.
“Fast responses don’t feel pushy,” Tamuel said. “They actually feel reassuring.”
That doesn’t mean you need to be available 24/7. But when you’re working, inquiries should be a priority. A quick response communicates professionalism, organization and enthusiasm.
Use consultations to build trust
Once a couple schedules a consultation, your goal shifts from providing information to building confidence. Tamuel encourages pros to think carefully about how they structure these conversations.
“The consultation is not a casual chat,” she says.
A successful consultation should:
- Guide the conversation
- Identify the couple’s priorities
- Reveal pain points
- Demonstrate expertise
- Create a memorable experience
The best consultations focus on understanding the couple rather than delivering a lengthy sales pitch.
Ask better questions
One of Tamuel’s favorite sales techniques is strategic probing. Rather than jumping directly into packages and pricing, ask questions to learn what matters most to your prospective couples. For example:
- What weddings have you attended recently?
- What did you love?
- What frustrated you?
- What are you most excited about?
- What concerns do you have about the wedding day?
These questions help uncover priorities and create opportunities to demonstrate how your services solve specific problems.
As Tamuel explains, “You need to ask the right questions.”
When you understand a couple’s concerns, you can tailor your recommendations and build trust more effectively.
Educate instead of defend
“Don’t bash other vendors,” she said. “Don’t get defensive about your pricing. Educate them.”
Couples often don’t know why certain services cost what they do. They may not understand timelines, logistics or the work happening behind the scenes. Your job is to provide context and help them make informed decisions. Education builds confidence. Defensiveness creates doubt.
Be prepared to close
Many wedding pros do a great job during consultations but never actually ask for the booking. Tamuel believes this is one of the biggest missed opportunities in wedding sales. After a successful consultation, ask directly: “Would you be interested in going to contract now?”
It’s a simple question, but many vendors avoid it because it feels uncomfortable. As Tamuel points out, if you never ask, you’ll never know. The goal isn’t to pressure couples. It’s to provide a clear path forward when they’re ready to move ahead.
Follow up until you get an answer
Some wedding pros stop following up after one or two attempts because they worry about being annoying. Tamuel takes a different approach. “I follow up until I get a yes or no,” she said.
Following up demonstrates professionalism and keeps the conversation moving. It also helps you identify which leads are genuinely interested and which are no longer active. A polite follow-up can often revive conversations that seemed to have stalled.
The bottom line
If you’re losing leads, the issue may not be your portfolio, pricing or talent. More often, it’s a breakdown somewhere in the sales process. The good news is that those breakdowns are fixable.
Respond faster. Personalize your communication. Ask better questions. Create clear next steps. Follow up consistently. Most importantly, remember that today’s couples are evaluating more than your work. As Tamuel reminds pros, “We are selling experiences to these clients.”
